NDIS Billing & Service Delivery Policy 

MOVE Sports Physiotherapy & Pilates

​

 

1. NDIS Pricing Framework

All services at MOVE Sports Physiotherapy & Pilates are delivered in accordance with the NDIS Pricing Arrangements and Price Limits under Capacity Building – Improved Daily Living supports.

Physiotherapy

  • Support Category: Capacity Building – Improved Daily Living

Description:

 Assessment, recommendation, therapy or training delivered by a qualified Physiotherapist to:

  • Improve functional capacity

  • Support independence

  • Address pain, injury, or physical limitations

  • Work toward participant-specific NDIS goals

NDIS Hourly Rate: $183.99

 

Exercise Physiology

  • NDIS Code: 01_721_0128_1_3

  • Support Category: Capacity Building – Improved Daily Living

Description:

 Assessment, recommendation, therapy or training delivered by an Accredited Exercise Physiologist (AEP) to:

  • Improve strength, endurance, and functional capacity

  • Support chronic condition management

  • Facilitate safe participation in exercise and daily activities

  • Work toward participant-specific NDIS goals

NDIS Hourly Rate: $166.99

3. Individual Appointment Structure

MOVE uses a combination of face-to-face (F2F) and non face-to-face (NF2F) clinical time to ensure high-quality, individualised care.

 

3.1 Initial Appointment (Physio / EP)

• • Duration: 60 minutes (face-to-face)

• • Billing: Full hourly rate

Physiotherapy: $183.99

Exercise Physiology: $166.99

Includes:

  • Comprehensive assessment

  • Goal setting aligned with NDIS plan

  • Initial treatment and education

  • Clinical documentation

3.2 Standard Review Appointment

• • Duration:

45 minutes face-to-face

Up to 15 minutes non face-to-face clinical time

Physiotherapy

  • 45 min F2F: $137.99

  • 15 min NF2F: $45.99

  • Total: $183.99

Exercise Physiology

  • 45 min F2F: $125.24

  • 15 min NF2F: $41.75

  • Total: $166.99

3.3 Short Consultation Appointment

30 minutes face-to-face

Up to 15 minutes non face-to-face clinical time

Physiotherapy

  • 30 min F2F: $91.99

  • 15 min NF2F: $45.99

Exercise Physiology

  • 30 min F2F: $83.50

  • 15 min NF2F: $41.75

4. Non Face-to-Face (NF2F) Clinical Time

Non face-to-face time may be used to support participant outcomes and continuity of care.

This may include:

  • Clinical reasoning and session planning

  • Review of notes and progress

  • Development or progression of exercise programs

  • Documentation and report writing

  • Communication with support coordinators or care teams

Key Principles:

Billed at clinician discretion

Only charged when clinically required

Must directly relate to participant goals

Combined F2F + NF2F time does not exceed the hourly rate

  • Delivered in line with NDIS reasonable and necessary criteria

 

 

5. Group Physiotherapy & Exercise Physiology Services

 

5.1 Service Description

MOVE provides clinically supervised small group sessions, including:

  • Clinical Pilates

  • Strength and rehabilitation programs (e.g., Bone Builder)

These sessions:

  • Are delivered or supervised by a qualified clinician

  • Are individualised within a group setting

  • Focus on improving strength, capacity, and independence

  • Align with participant NDIS goals

 

5.2 NDIS Codes for Group Services

Group services are billed under the same support items:

  • Physiotherapy: 01_720_0118_1_3

  • Exercise Physiology: 01_721_0128_1_3

5.3 Billing Structure (Group Services)

Group sessions are billed as:

A proportional share of the clinician’s hourly rate based on the number of participants attending

​

5.4 Standard Group Fee

  • Physiotherapy equivalent: $45.99 per participant (approx. 15 minutes of clinician time)

This reflects:

  • Shared clinician supervision

  • Individualised input within a group setting

​

5.5 Compliance Requirements

• • Total combined billing for the group must not exceed the clinician’s hourly rate

• • Group size must align with pricing

• • Fees may be adjusted depending on:

Number of participants

Clinical supervision requirements

 

5.6 What Group Sessions Include​

  • Supervision and clinical cueing

  • Strength and functional capacity development

  • Ongoing assessment and progression with individual appointment types

6. Appointment Allocation

Appointment type and duration are determined by the treating clinician based on:

  • Participant goals

  • Clinical complexity

  • Functional capacity

  • Stage of rehabilitation

 

 

7. Participant Acknowledgement & Consent

By engaging in services at MOVE Sports Physiotherapy & Pilates, participants acknowledge that:

Services may include both face-to-face and non face-to-face time

Non face-to-face time may be billed when clinically appropriate

Group sessions are delivered in a shared format with proportional billing

  • All services are delivered in line with NDIS Pricing Arrangements and reasonable and necessary supports

 

 

8. Commitment to Quality Care

MOVE Sports Physiotherapy & Pilates is committed to:

  • Delivering evidence-based, individualised care

  • Supporting participants to achieve meaningful functional outcomes

  • Maintaining transparent and compliant billing practices

  • Providing safe, progressive and goal-directed rehabilitation

9. Cancellation Policy

In line with ‘NDIS Pricing Arrangement and Pricing Limits 2025-26’. Under this document, Move Sports Physiotherapy & Pilates is able to claim 100% of the agreed fee associated with the activity from the participants plan if;

  • The participant does not show up for a scheduled support within a reasonable time, or is not present at the agreed place and within a reasonable time when Move Sports Physiotherapy & Pilates is travelling to deliver the support; or

  • The participant has given less than 2 business days notice (Move Sports Physiotherapy & Pilates will accept 48 hours notice) for a support that is less than 8 hours in duration and for which the agreed price for the support is less than $1000.

10. Rights and Responsibilities

The provider agrees to;

  • Review the provision of therapy services at each occasion of service with the participant.

  • Once agreed, provide therapy services that meet the participant’s needs.

  • Communicate openly and honestly in a timely manner.

  • Treat the participant with courtesy and respect.

  • Consult the participant on decisions about how treatment is provided.

  • Give the participant information about managing any complaints or disagreements and details of the provider’s cancellation policy.

  • Give the participant a minimum 24 hours’ notice if the provider has to change a scheduled appointment where possible.

  • Give the participant the required notice if the provider needs to end the Service Agreement (see below).

  • Protect the participants privacy and confidential information.

  • Provide support in a manner consistent with all relevant laws and keep accurate records on the supports provided to the participant.

  • Issue regular statements of the therapy services delivered to the participant as per the ‘Costs and Payments’ section of this Service Agreement.

The participant/participants representative agrees to;

  • Inform the provider about how they wish the therapy services to be delivered to meet the participant’s needs.

  • Treat the provider with courtesy and respect.

  • Talk to the provider if the participant has any concerns about the therapy services being provided.

  • Give the provider a minimum of 48 hours’ notice if the participant cannot make a scheduled appointment; if the notice is not provided by then, the provider’s cancellation policy will apply.

  • Give the provider the required notice if the participant needs to end the Service Agreement (see below).

  • Let the provider know immediately if the participant’s NDIS plan is suspended or replaced by a new NDIS plan or the participant stops being a participant in the NDIS.

  • Provide a safe and smoke-free environment for the provider to work in if seen in the community.

11. Service Agreements & Terminations

An NDIS service agreement is a formal contract between an NDIS participant and a service provider outlining agreed supports, costs, responsibilities, and dispute resolution processes.

​

If changes to the treatment or their delivery are required, the parties agree to discuss and review the Service Agreement. The parties agree that any changes to this Service Agreement will be in writing, signed, and dated by the provider and participant.

 

Should either party wish to end this Service Agreement they must give one months’ notice. If either party breaches the rights and responsibilities of this Service Agreement the requirement of notice will be waived.

 

 

12. Making a complaint / Providing Feedback

If the participant wishes to give the provider feedback or wishes to make a complaint, they or their representative can:

  • Discuss the issue/complaint directly with the provider

  • Contact the NDIS Quality and Safeguards Commission
